What you can import
MyFinance Studio supports importing five types of data, each from a CSV or TSV file:
- Customers — Name (or separate first & last name columns), company, email, phone, address, city, province, postal code, tax ID, notes
- Products & services — Name, description, price, tax rate, tax mode, SKU, stock level, unit
- Invoices — Customer name or email, invoice number, dates, status, currency, line items (one row per line)
- Estimates — Same structure as invoices
- Expenses — Date, vendor, category, amount, payment method, description, notes
Step by step
1. Prepare your CSV file
Export your data from spreadsheets (Excel, Google Sheets) or your existing tool as a CSV. The first row must contain column names. The importer is flexible about column naming — it matches "Customer Name", "name", "Name" and similar variations automatically. If a customer has no name column value, the importer will build one from first name + last name columns, or fall back to the company name.
Tip: Use comma-separated (CSV) or tab-separated (TSV) format. UTF-8 encoding is recommended for special characters.
2. Upload and map columns
Go to Import in the sidebar and choose the data type. Paste your CSV data or upload the file. Click Preview & map columns to see the importer's column mapping.
The importer will try to auto-match your columns to the correct fields. Review the mapping table and adjust any mismatches. Columns you don't need can be set to "Skip column". A Download template button gives you a blank CSV with the correct headers.
3. Validate and import
Click Validate to check every row before importing. The validator reports how many rows are valid and which ones have errors (with specific error messages like "Email is required" or "Amount must be a number").
Fix any issues in your CSV, re-upload, and validate again. Once validation shows all rows as valid, click Start import. Valid rows are imported in bulk. Invalid rows are skipped and listed in the result so you can fix and re-import them.
Common questions
Can I import duplicate data?
The importer doesn't deduplicate automatically. If you import the same customer twice, you'll get two records. Clean your data before importing, or delete duplicates after.
What about multi-line invoices?
Currently each CSV row represents one line item. For invoices with multiple line items, create one row per line with the same invoice number — the importer groups them into a single invoice.
Will this affect existing data?
No. Importing only adds new records. It never modifies or deletes existing customers, products or invoices.
Moving from Wave, Xero or FreshBooks? Export your contacts and products as CSV from those tools and import them directly. The column names usually match without any renaming.
