Setting up SMTP for email delivery

Send invoices, payment reminders and receipts from your own email address. Here's how to configure SMTP in MyFinance Studio.

Why set up SMTP?

By default, MyFinance Studio uses the server's built-in mailer to send emails. This works fine for getting started, but configuring your own SMTP means emails arrive from your domain instead of a server address. This improves deliverability, avoids spam folders, and looks more professional to your customers.

Where to configure it

Go to Settings → Email (SMTP). You'll see six fields. Leave them all blank to use the server default, or fill them in with your SMTP provider's details.

Field-by-field guide

SMTP host

The server address your email client connects to. Common examples:

  • Google Workspace: smtp.gmail.com
  • Microsoft 365: smtp.office365.com
  • Titan Mail: smtp.titan.email
  • Cloudflare Email Routing: not supported — use a transactional provider like Mailgun or Brevo.

Port

Usually 587 (STARTTLS) or 465 (SSL/TLS). Check your provider's documentation. The default is 587.

Username

Your full email address (e.g. invoices@yourbusiness.co.za). Some providers require an app-specific password instead of your regular password.

Password

The password for the email account. For Gmail or Google Workspace, create an app password under My Account → Security → 2-step verification → App passwords.

From name

The name recipients see as the sender. Use your business name, e.g. The South African.

From email

The email address that appears in the "From" field. This should match the username above, or be an alias your provider authorises.

Test your setup

After saving your SMTP settings, send yourself an invoice. If the email arrives, you're good. If it doesn't, check:

  1. The host and port are correct (try 465 if 587 doesn't work).
  2. Your email provider hasn't blocked the connection — some providers require you to enable "less secure apps" or create an app password.
  3. The "From email" matches the SMTP account or is an authorised sending address.

Gmail and Google Workspace now require app passwords for third-party apps. You can't use your regular Google password directly — generate an app password first under your Account settings.
